One chief-of-staff bot, and no more first hour lost chasing context
Twenty agents at once was overwhelming, so SpaceXAI's Blake Schuller set up one bot, Gus, over the rest: call prep cards, unkept promises, unanswered asks. From SpaceXAI's own guide.

Result Prep cards before every customer call
“I didn't automate my job. I stopped spending the first hour chasing context.”

What they did
After trying to run twenty agents themselves and finding it overwhelming, they set up one chief-of-staff bot, Gus, over a bench built up over a few weeks: a specialist for each account, a follow-ups bot, a bot that drafts in their voice and a docs bot. Routines send a prep card fifteen to thirty-five minutes before each call, list unfinished promises through the day and surface asks still waiting on them.
How it went
They say they walk into customer meetings already knowing what moved, send follow-ups faster, and do more relationship work, not less. They work at SpaceXAI, which makes Grok Bot.
Try it yourself with Grok Bot
Act as my chief of staff for post-sales. Every weekday at [time], fold my calendar, Slack and call transcripts into one brief of what needs me today. Fifteen to thirty-five minutes before each customer call, send me a prep card: who's attending, the one outcome to aim for, and open follow-ups. Three times a day, list promises I made and haven't kept, with links to where I made them. Draft replies in my voice, but never send anything.

A home service business connected Grok Bot to its phone system after a few hours of setup. It now listens to every call and posts a summary to the team's Slack channel.
Junk email, Amazon return deadlines, open-source pull requests and a trip to book. Grok Bot runs that life admin: 1,000+ emails trashed, 7 return deadlines tracked, 17 PRs merged, flights, hotel and car booked.
A Coca-Cola price check across Belgian supermarkets, with no shops or sizes named. Grok Bot went to each store's own site, flagged a Carrefour block, and after one human click found the best price per liter there.
A Linux box mattered but wasn't their day job, and fixing it when it broke was anxiety-inducing. They gave Grok Bot root SSH access and their old setup notes, and now run nginx restarts and firewall rules from a phone app.
SpaceXAI designer John Bai built one auto-layout component, and a design bot filled the other cards from the real file. Other bots built three prototypes to learn from. From SpaceXAI's own guide.
From their phone, SpaceXAI's Matt Palmer had Grok Bot build a private board of everyone they follow, from public profiles only. Travelling? It shows who to meet for coffee. Figures from SpaceXAI's guide.
